Position Summary:
The Assistant Registrar, Transfer Credit and Completion is responsible for assisting in the supervision of daily operations and personnel in the Records and Registration office to ensure prompt and systematic services to students, administrators, faculty, staff and the college community. The Assistant Registrar is responsible for providing functional and technical leadership for graduation and certification process and is responsible for overseeing the student academic procession for commencement and related activities. In addition, the Assistant Registrar provides leadership and guidance on the implementation of completion-related initiatives. The Assistant Registrar is also responsible for supervising the incoming transcript and transfer of credit processes

Job Duties and Responsibilities:
Provide functional and technical leadership for the graduation application and certification process. Including but not limited to: supervising graduation staff, evaluating records for program completion, communicating with prospective graduates, maintaining/enhancing/documenting graduation databases, creating reports/queries, managing diploma vendor relations/ordering diplomas, reviewing/approving appropriate program substitutions, serving as college administrator for receipt of PRAXIS exams, developing/implementing processes for identifying potential graduates, overseeing ConEd certification process.
Oversee the student academic procession for commencement and related activities. Primary contact for student academic procession. Coordinate all brochures, letters, programs, print information that goes to graduates and prospective graduates regarding the commencement ceremony. Work corroboratively with offices/contacts across campus with vendors to ensure a seamless ceremony/process for all graduates. Write queries and disseminate information and data as appropriate. Develop new initiative and innovative approaches to graduate communications, regalia, event marketing, and system enhancements
Through collaboration with other college areas ,provide leadership in the implementation of completion-related processes and activities
Supervise the incoming transcript and transfer credit processes, ensuring appropriate procedures, state regulations, and timelines are met.
Assist in recruiting/training/supervising/developing/evaluating Records staff; function as supervisor in absence of Registrar. Research/recommend system and policy/project enhancements to make processes more efficient, effective, ensure data quality control
Required Qualifications:
Master’s degree required.
Minimum five years of related experience in a higher education institution.
Three years of supervision experience.
Knowledge of transfer credit practice and regulations.
Experience using student information systems, including experience testing and implementing database updates. Experience writing queries. Advanced computer knowledge including spreadsheets, relational databases, and mail merges
Advanced knowledge of the Family Education Rights and Privacy Act (FERPA) regulations. Experience interpreting academic policy and regulations.
Demonstrated ability to work in a fast-paced office, ensuring deadlines and responsibilities are met. Exceptional follow-up and follow-through skills, as well as ability to plan, organize and control projects through to completion
Excellent oral, written, and interpersonal skills, including experience with public speaking and presentation skills, and the ability to communicate complicated information in a clear and concise manner.
Preferred Qualifications:
Minimum five years progressively responsible experience in a large community college Registrar's office
Experience with Ellucian Colleague, Entrinsik Informer, Perceptive Content, and web content management systems
Experience programming complex academic programs in a degree audit system, preferably Ellucian Colleague and Ellucian's Student Planning module
Experience evaluating student athletic eligibility using National Junior College Athletic Association (NJCAA) requirements.
Hours Per Week: 40
Work Schedule: Monday-Friday 8:30 am - 4:30 pm, occasional Saturday 9 am-1 pm
